Privacy Policy

Edvance helps schools manage students, staff, attendance and academic records. We take the responsibility of holding student data seriously. This policy explains what we collect, why, how we protect it, and the choices you have.

1. Who this policy is for

This policy applies to school administrators, teachers, students and parents who use Edvance, and to the schools (our customers) who operate their own workspace on our platform.

Your school is the owner and controller of the data it enters about its students and staff. Edvance is the processor— we store and process that data on the school's behalf, under the school's instructions.

2. What we collect

We collect only what a school needs to run its operations:

  • Account information — names, email addresses, and passwords (stored encrypted) for people who sign in.
  • Student records — names, roll numbers, class and section, guardian contact details, and attendance a school chooses to enter.
  • Staff records — teacher names, contact details, and the classes and subjects they are assigned.
  • Usage data — basic technical logs (device type, timestamps, error reports) that help us keep the service reliable and secure.

We do not ask for or store payment card numbers. Subscription payments are made by bank transfer and verified manually.

3. How your data is isolated

Every school operates in its own private, isolated workspace. Data separation is enforced at the database level using row-level security — meaning the database itself refuses any attempt by one school to read another school's data, not merely the application layer.

Within a school, access is controlled by role: administrators, teachers and students each see only the information appropriate to them.

4. How we use data

We use the data described above to:

  • Provide the features your school signed up for (attendance, records, reporting, and related tools).
  • Keep your account secure and detect misuse.
  • Provide support when you ask for it.
  • Improve reliability and performance of the platform.

We do not sell your data, and we do not use student data for advertising.

5. Where data is stored

Your data is hosted on enterprise-grade cloud infrastructure with encryption in transit and at rest, and automatic backups. When an offline mode becomes available, some of your school's data will be stored temporarily on your device so the app keeps working without a connection, syncing back to our servers when you reconnect; this policy will be updated with the details before that feature launches.

6. Data retention & deletion

We keep your school's data for as long as your account is active. If you close your account, we will delete or irreversibly anonymise your data within a reasonable period, except where we are required to retain it by law.

A school administrator can request an export or deletion of their school's data at any time by contacting us.

7. Your rights

Depending on your role and applicable law, you may have the right to access, correct, export or request deletion of personal data held about you. Students and parents should direct such requests to their school, which controls the data; schools can contact us for help fulfilling them.

8. Changes to this policy

We may update this policy as the product evolves. If we make a material change, we will notify schools through the platform or by email. Continued use after an update means you accept the revised policy.
